Reporting to the Assistant Registrar for Academic Operations, the Assistant will perform duties to assist in accomplishing the mission of the Registrar’s Office. The Assistant will work closely with the Assistant Registrar on registration, waitlists, scheduling of classes, classroom assignment, seat capacity, final exam scheduling, and study abroad.
Responsibilities:
Registration
- Assist Assistant Registrar with coordination of all aspects of registration including:
- Assist students, faculty, and staff with self-service tools related to advising and registration
- Manage registration adds/drops/overrides/waitlists
- Register students studying abroad in placeholder classes and place them on hiatus
- Execute batch registration processing
- Prepare necessary reporting pertaining to registration/enrollment
- Add student petitions and permissions for registration to student records
Scheduling of Classes
- Assist Assistant Registrar with coordination of all aspects of class scheduling including:
- Work with dean, undergraduate departments, graduate program coordinators, administrative assistants, off-campus programs, Common Ground, Summer Science Academy, and Budapest campus to develop class schedules in Colleague for each semester/term
- Negotiate scheduling conflicts with department chairs/program coordinators
- Ensure best utilization of course meeting times
- Notify students and faculty of schedule changes as necessary
- Assign classrooms for all courses and final exams
- Ensure best utilization of classroom space while managing limited resources
- Adjust seat capacity for sections as appropriate
- Provide reporting and analysis on classroom utilization
Process Grades
- Enter grades for degree and non-degree courses offered at Budapest campus
- Process grade changes
- Process I grade conversations/changes
Welcome Letters
- Create and upload welcome letters for degree-seeking students at Budapest campus
- Process letters for UG non-degree students
- Process welcome letters for UG and GR non-degree students
Other duties as assigned
- Serve as back-up for the Office Manager
- Solve problems in a professional and appropriate manner
- Assist others at peak times
- Provide information as needed to other offices on campus
Information Security Role: Data User
- Follow the policies and procedures established by the appropriate Data Stewards.
- Comply with federal and state laws and regulations as well as College policies, procedures, and standards associated with the College computing resources and institutional data used.
- Use institutional data only as required for the conduct of College business within the scope of employment.
- Implement safeguards prescribed by appropriate Data Stewards for Limited Access and Restricted Data.
- Ensure the appropriateness, accuracy, and timeliness of institutional data used for the conduct of College business.
- Report any unauthorized access, data misuse, or data quality issues to the appropriate Data Steward for remediation.
- Accept and complete the confidentiality statement yearly if access includes Restricted data.
- Report any suspected data breach to the CIO and the IT Help Desk as soon as possible.
Requirements:
Qualifications
- High school diploma or equivalent
- Experience working in higher education preferred
- Knowledge of data management systems preferred
- Strong oral and written communication skills
- Strong interpersonal skills
- Strong organizational skills with attention to detail
- Ability to work effectively in fast-paced, dynamic work environment
Physical Characteristics
This position requires sitting for long periods of time, as well as some bending and stooping when working with files. This position does have some limited lifting involved but not more than 10 pounds at a time. Quite a bit of finger/hand dexterity is involved in regards to typing and/or filing. The overall setting of the job is in an area conducive to a normal office environment with minimal exposure to adverse conditions.
